Six tenant onboarding tools for UK operators compared on referencing, right to rent, signing and resident chasing, plus the 2026 rule changes to check.
Summary
Tenant onboarding covers everything from accepted offer to keys: right to rent, referencing, the tenancy agreement, move-in money, deposit protection and the welcome. Most UK operators automate it with two or three tools working together, not one.
Yardi and Goodlord cover the most of the formal journey. Homeppl and Goodlord lead on referencing. Arthur and Bidrento suit specific portfolio types. Vinny handles the conversation layer: chasing documents, answering questions and moving each resident to the next step.
Pick your system of record first, then add the tools that close the gaps around it. Check every option against the 2026 right to rent and written information rules before you buy.
I want to automate tenant onboarding: what's available?
There are three kinds of tool, and most operators need at least two of them. The first is the property management system (PMS) with online applications and e-signing built in. The second is the specialist referencing and tenancy progression platform. The third is the layer that talks to applicants and residents, chases what is missing and hands exceptions to your team.
The reason one tool rarely covers everything is that onboarding is part paperwork and part conversation. Referencing, contracts and payments are forms and records. But a lot of move-in delay sits in the gaps: the guarantor who hasn't uploaded payslips, the applicant who doesn't understand what "share code" means, the resident asking at 10pm whether they can collect keys on a Sunday.
So the useful question is not "which platform does onboarding?" It's "which parts does each tool automate, and who picks up the rest?"
What does tenant onboarding involve for a UK operator in 2026?
In England, onboarding now has three hard legal checkpoints, and two of them changed this year. Any automation you buy has to hold up against all three.
Right to rent. You must check every tenant aged 18 and over before a new tenancy starts, including adults not named on the agreement. If someone only has permission to stay for a limited time, the check has to happen in the 28 days before the tenancy begins. A new Home Office code of practice comes into force on 1 October 2026. It clarifies when checks must be done, expands the role of digital verification providers, and confirms that people with an eVisa can only prove their right to rent through the Home Office online service. Civil penalties are £10,000 per occupier for a first breach and £20,000 for a repeat breach within three years, with lower rates for lodgers.
Written tenancy information. For new tenancies from 1 May 2026, landlords in England must give tenants written information about the key terms of the tenancy before it is signed or agreed. Failing to do so can bring a fine of up to £7,000. Assured periodic tenancies also replaced assured shorthold tenancies on the same date, so an onboarding flow still sending an old AST template needs updating.
Deposit protection. In England and Wales, a deposit must go into a government-backed scheme (Deposit Protection Service, MyDeposits or the Tenancy Deposit Scheme) within 30 days of receiving it.
Around those checkpoints sit the steps that decide whether move-in feels smooth: referencing and guarantors, affordability, signing, first month's rent, inventory, key or access setup, and the first week of questions.
What is the best tenant onboarding automation software?
These six tools are listed by what they are best at, not ranked on a single score. Every capability below is taken from the vendor's own website as of September 2026.
1. Yardi (Voyager and RentCafe)
Best for: large build to rent and co-living operators who want onboarding inside their PMS.
Yardi positions Voyager Residential for build to rent, single family housing and co-living portfolios. Its RentCafe suite covers online applications, digital lease signing, online rent payments and service requests, and Yardi says online applications, payments and e-signatures take residents from unit selection to move-in. ID Verify checks that applicants are who they claim to be, and the MyCafe resident app handles balances, payments, maintenance and amenity bookings.
Where it stops: it is a full platform decision. If you're not already on Yardi, adopting it for onboarding alone is a big project.
2. Goodlord
Best for: letting agents and operators who want referencing and tenancy progression in one place.
Goodlord's tenancy progression covers AI-led referencing, offer letters, contracts, move-in monies and compliance, and is built mainly for letting agents. For build to rent, it offers fraud-resistant income verification, right to rent checks and sanctions screening, with a referencing API that plugs into an existing PMS. Goodlord quotes an average 24-hour referencing turnaround, with one in three references returned instantly.
Where it stops: its pages focus on the formal tenancy steps rather than the day-to-day questions residents ask along the way.
3. Vinny
Best for: operators who want every applicant chased, answered and moved forward across whatever systems they already run.
Vinny is the AI teammate for property teams. Vinny manages the conversation layer and pulls in the right tools at every step. Vinny runs referencing checks and digital signing, and on build to rent sites it chases outstanding ID, tenancy agreements and right to rent checks automatically, flagging anything missing in real time. It works over WhatsApp, email and SMS, and connects to most major PMS platforms including Yardi, MRI, Arthur, Reapit and res:harmonics, and to Homeppl, Stripe Identity, Docusign and Unloc.
Where it stops: Vinny works alongside your PMS and referencing tools rather than replacing them. It
4. Homeppl
Best for: build to rent teams whose main onboarding risk is fraud and slow referencing.
Homeppl's referencing is aimed at letting agents, landlords and build to rent companies. It covers identity, income, rental history, guarantors, right to rent in England and open banking checks, and runs more than 150 fraud tests. Homeppl quotes an average turnaround of approximately 25 hours.
Where it stops: it is a referencing specialist. Contracts, payments and resident comms need other tools.
5. Arthur Online
Best for: letting agents and student housing providers who want an operations platform with a resident app.
Arthur lists integrations with tenant referencing and with Signable for e-signing, and its occupant app lets tenants report maintenance, sign documents and keep track of rent payments.
Where it stops: referencing and signing come through partners, so the experience depends on which ones you connect.
6. Bidrento
Best for: operators who want one platform from listing to handover across residential, student and commercial space.
Bidrento automates the journey from application to move-in, with listings, application forms, viewing scheduling, and digital signing for agreements and handover protocols.
Where it stops: its onboarding page doesn't mention UK right to rent or referencing, so UK operators would need to add those.
How do you choose the right tenant onboarding stack?
Start with your system of record, because everything else has to write back to it. If you run Yardi, RentCafe already covers applications and signing. If you run a lighter PMS, a referencing platform such as Goodlord or Homeppl usually does most of the formal work.
Then ask four questions of every tool:
Does it follow the 2026 rules? Ask how it handles eVisa holders, digital verification providers and the new written information requirement.
Does it write back? A referencing result that lives in a separate portal means someone rekeys it.
Who chases? Missing documents are a common cause of move-in delay. Find out whether the tool reminds applicants and guarantors itself, or leaves it to your team.
What happens to the odd cases? A guarantor abroad or a failed ID check should reach a named person quickly, not sit in a queue.
What does this look like with Vinny?
Take a resident whose offer was accepted on Friday afternoon. Vinny messages them on WhatsApp with the documents it needs, starts referencing and ID checks through your connected providers, and on Monday morning chases the right to rent document that still hasn't arrived. Your team steps in when something needs a judgement call. Vinny escalates edge cases and high-risk scenarios to the right person automatically, and writes updates back to your PMS so the record stays accurate without your team re-keying information.
The same thread carries on after signing. When the resident asks how to report a broken boiler in week one, Vinny answers in seconds (its response time is under 10 seconds on every channel. Onboarding is part of the wider Vinny leasing automation flow, from enquiry and viewing to signing and move-in.
If your team is spending its mornings chasing documents, book a demo and we'll walk through your current move-in flow.

Frequently asked questions
What is tenant onboarding?
Tenant onboarding is everything between an accepted offer and a settled resident: right to rent, referencing, the tenancy agreement, move-in payments, deposit protection, keys and the first weeks of questions.
Can tenant onboarding be fully automated?
Most of it can. Referencing, signing, payments and reminders are routinely automated. Judgement calls, such as a failed check or an unusual guarantor, should still reach a person.
When do right to rent checks need to happen?
In England, before a new tenancy starts, for every adult who will live there. For someone with time-limited permission to stay, the check must be in the 28 days before the tenancy begins.
What changed for onboarding in 2026?
For new tenancies from 1 May 2026, landlords in England must give written tenancy information before the tenancy is agreed. A new right to rent code of practice applies from 1 October 2026.
Do I need a new PMS to automate onboarding?
Usually not. Goodlord offers a referencing API for existing systems, and Vinny connects to the PMS you already run and writes updates back to it.
