The best software for automating lease renewals in 2026

Seven tools for automating lease renewals in 2026, compared on outreach, pricing and e-signing, plus what the Renters' Rights Act changes for UK teams.

Summary

  • The best software for automating lease renewal workflows depends on what you already run. Entrata, Yardi, AppFolio and Buildium automate renewals inside their own property management systems. Vinny runs renewal outreach and conversations across whichever PMS you have. Arthur Online and Re-Leased cover UK letting agents and mixed-use portfolios.

  • A good renewal workflow does five things without a person driving it: reads tenancy end dates, starts outreach 90 days out, proposes pricing, gets a decision from the resident, and updates the system of record.

  • In England, renewals changed on 1 May 2026. Fixed terms are gone for most of the market, so "renewal" now means keeping the resident and running the annual rent review properly. Code-member PBSA is the exception and can still let on fixed terms. Pick software that works on periodic tenancies, not just fixed-term rollovers.

How do I automate our renewal and retention process?

Start with dates, not messages. Every tool below depends on clean tenancy end dates (or, for periodic tenancies, the anniversary and rent-review date) in your PMS. Then the workflow is the same whatever you choose:

  • Enrol residents 90 days out. That is where Entrata and Buildium start. It leaves time for a conversation, a rent decision and, if the resident leaves, marketing the home.

  • Decide pricing before the first message. Set the rule (hold, index, or move towards market) and the approval threshold, so an offer can go out without waiting for a person.

  • Send on the channel the resident answers. Some residents only reply on WhatsApp or by phone. A renewal sitting unread in an email is a void in waiting.

  • Stop the sequence when someone replies. Follow-ups exist to get a decision, not to nag.

  • Write the outcome back. Renewed, notice given, or undecided at 30 days, in the PMS, so the leasing team can act on the homes that are actually coming back.

How does automating renewals improve retention rates?

Mostly by closing the gap between a tenancy nearing its end and anyone talking to the resident about it. Voids in England averaged 26 days in January 2026, up from 23 the month before, according to Goodlord's Rental Index. At Zoopla's September 2026 UK average new-let rent of £1,343, a 26-day void is roughly £1,150 in lost rent before re-letting costs.

Most residents who leave do so by choice. The English Housing Survey 2024 to 2025 found that 14% of private renters whose tenancy ended were asked to leave by their landlord or agent, and only 3% left because of a rent increase. The rest moved for their own reasons: a bigger home, a job, a better area. Early, personal contact reaches that group before they start looking.

Service matters more than the offer. AppFolio's 2026 Renter Preferences Report, a survey of 3,002 US renters, found those satisfied with maintenance were 81% more likely to renew and 36% less likely to be planning a move. So check for open maintenance jobs before an offer goes out.

What changes for renewals under the Renters' Rights Act?

In England, "renewing a fixed term" ended on 1 May 2026. The NRLA's guidance confirms that almost all existing assured shorthold tenancies converted to assured periodic tenancies on that date, and new tenancies must be periodic from the outset. Residents can leave at any point on at least two months' notice.

Rent can go up once a year. You serve a Section 13 notice on Form 4A with at least two months' notice, and the resident can challenge it at the First-tier Tribunal, as Shelter sets out. Two things follow for pricing. The tribunal can confirm or reduce the rent you proposed but never increase it, and the new rent starts from the determination, not the date on your notice. A challenged increase holds the resident at the old rent until the tribunal decides.

PBSA is the exception. The Student Accommodation (Miscellaneous Provisions) (England) Regulations 2026 keep private PBSA outside the assured tenancy regime where the operator or its managing agent belongs to an approved code, meaning ANUK/Unipol or UUK. Qualifying operators can still let on fixed terms that match the academic year. The exemption is not retrospective: PBSA tenancies already running on 1 May 2026 converted like everyone else's. Tenancies above £100k a year, company lets and Rent Act 1977 tenancies also sit outside the reforms.

So for most of the market there is no signature to chase, and the fixed-term rollover features in US products do less for an English portfolio. What matters instead is a retention conversation around the tenancy anniversary, a compliant annual rent review, and early warning when a resident is likely to give notice. Retention becomes a year-round job, not a 90-day sprint.

What is the best software for automating lease renewal workflows?

There is no single best tool, because renewal automation lives in two places. If your property management system has a renewals module, switch it on. If it does not, or you run several systems across a portfolio, you need a layer that sits across them and does the outreach, the conversation and the follow-up. The six tools below cover both routes. We have only included what each vendor states on its own site as of September 2026, and we have been as plain about Vinny's limits as anyone's.

1. Vinny: renewals outreach across the systems you already use

Best for: Build to Rent, PBSA, co-living, single-family housing, and letting agency teams in the UK, Europe and Australia that want renewals handled across email, WhatsApp, SMS and voice without changing their PMS.

Vinny is the AI teammate for property teams. For renewals, it reads tenancy dates from your property management system, contacts residents ahead of the renewal window, handles the routine back-and-forth and flags at-risk tenancies for your team to prioritise. You write a renewal message once and Vinny adapts it for email, WhatsApp and SMS; the sequence stops the moment a resident replies, and the conversation lands with a person. It connects to Yardi, MRI, res:harmonics, Arthur, Reapit, Mews and DocuSign among others, and syncs outcomes back so your PMS stays the source of truth.

Where it falls short: Vinny is not a property management system and does not replace one. If you have no PMS, or renewals are low volume, you will not get the full value.

2. Entrata Renewals AI

Best for: Multifamily operators already running Entrata, mostly in the US.

Entrata's Renewals AI says it will predict lease renewals 90 days in advance, engage residents by SMS and email with lease-specific messages, and segment residents by intent.

Where it falls short: It only works inside Entrata, and the product is built around US lease structures.

3. AppFolio

Best for: Residential managers in the US who want renewals to run on autopilot inside AppFolio.

AppFolio's leasing features let you set a default offer that automatically updates lease dates, rent amounts, and status upon the current lease expiration, send branded renewal offers for e-signature, and prepare renewals for residents.

Where it falls short: AppFolio is a US product. Its pricing data and renewal flow are built around US fixed-term leases.

4. Buildium

Best for: Independent and smaller management companies in the US.

Buildium tracks lease expiries on a timeline you configure, generates the renewal offer with your rent increase applied, sends it for e-signature and logs the response, with reminder emails to residents who haven't replied.

Where it falls short: Same as AppFolio: US-first, and a full PMS you would have to move to.

5. Arthur Online

Best for: UK agencies and portfolio landlords who want renewals inside a UK-built PMS.

Arthur's letting agent software includes automated events with workflows for late rent, certificate expiry and tenancy renewal reminders, plus a tenant app, email and text.

Where it falls short: The renewal is a guided workflow a person runs, with reminders around it. No resident-facing conversation is described.

6. Re-Leased

Best for: Portfolios that mix residential with commercial units and need one system for rent reviews, breaks and expiries.

Re-Leased's Build to Rent page promises automated reminders for rent reviews, lease expiries, break options, and renewals across all tenancy types.

Where it falls short: It is commercial-first, and the automation described is reminders to your team, not outreach to residents.

What does this look like with Vinny?

Vinny is one option on this list, not the answer for every team. It fits a portfolio that already has a PMS and wants renewals run the same way across every building. In practice, Vinny reads tenancy dates from your PMS and enrols residents into a renewal sequence at the point you set. You write the message once and it goes out on email, WhatsApp, voice, or SMS, adapted for each. Vinny answers the routine questions, sends the renewal offer with the pricing your team has approved, and stops the sequence as soon as the resident replies so a person picks up the conversation. When the resident says yes, Vinny generates the paperwork and sends it for e-signature through DocuSign, then writes the new terms back to your PMS, so there is no gap between the agreement in the conversation and the record. Where the tenancy is periodic and there is nothing to sign, as in England since May 2026, the same step issues the rent-review confirmation and logs the outcome. Anything that needs judgement, such as an early break request, is flagged on the resident record with the history attached. Occupancy and voids reporting shows what is renewed, what is at risk and what is coming back to market.

Across the portfolios Vinny runs on, operators report a 10 to 30 percentage-point increase in resident satisfaction and retention, and a 20% reduction in void periods. Your numbers will depend on your starting point. Book a demo and we will map your renewal workflow against what Vinny would take on.

If you are earlier in your thinking, start with what an AI leasing assistant is and how it works, then read how to cut void periods with automated renewals outreach for the step-by-step sequence.

Frequently asked questions

What is lease renewal automation software?

Software that tracks tenancy end or review dates, contacts residents ahead of time, presents an offer, collects the decision and updates your property management system, with people stepping in only for exceptions.

How far in advance should renewal outreach start?

Ninety days before the tenancy end or anniversary is the common starting point across the tools on this list. It leaves time for a conversation, a rent decision and, if the resident is leaving, marketing the home.

Do UK operators still need renewal software after the Renters' Rights Act?

Yes, but the job has changed. With fixed terms gone in England, the work is retention outreach around the anniversary, a once-a-year Section 13 rent review with two months' notice, and early warning when a resident is likely to give notice. Check any tool you shortlist handles periodic tenancies.

Does Vinny replace our property management system for renewals?

No. Vinny reads tenancy data from your PMS, runs the outreach and conversations, and writes the outcome back.
